Nonprofit Marketing & Operations Manual

  • Purpose of

Attract new shoppers to their store.

  • Win back shoppers who previously shopped in their store, but have drifted.
  • Retain existing customers.
  • Reduce cross shopping of their existing “loyal” shoppers.

NPOs can make the program successful for ABC Supermarket and, consequently, for themselves by strongly encouraging their supporters to shop at the participating store. New shoppers and “winbacks” are most valuable, but getting existing shoppers to nominally increase their weekly spending at the participating store also supports the program. This is easily accomplished by existing shoppers reducing/eliminating their shopping at other supermarkets, convenience stores, etc.

Passionate Shoppers ("PS") Payments to Nonprofits by EFT (Electronic Funds Transfer)

In order to bring the highest level of service to EPC Nonprofits, we will automatically EFT your donations directly into your nonprofit’s checking account.

In order to do that we need a copy of a voided check. You may fax a copy (732-450-2428) or send us a check by mail (Every Penny Counts, 227 East Bergen Place, Red Bank, NJ 07701). Once we receive a copy of your voided check, we will enter your bank’s routing number and your checking account number in the software provided by our bank, Commerce Bank.

Please be advised that EFT is a bank certified and regulated way to send money to another account. EPC does not have access to your checking account or any of your checking account information. EPC is only authorized to deposit money into your checking account. In addition to sending an EFT to your checking account, we will also notify you by email of the exact date when your rebates will be direct deposited.

There is no charge to the nonprofit for this service. Nonprofits are paid on a monthly or quarterly basis, according to the supermarket.

Enrollment of Supporters

After enrolling, EPC will customize a Supporter Enrollment Form for your organization and US. mail the form to your organization to the attention of your Main Coordinator. Please duplicate and distribute to your supporters. On the Enrollment Forms, your supporters will list the number of their ABC Supermarket Club Card. If they do not have a ABC Supermarket card, they should go to the Courtesy Desk and receive one. The card can be used immediately to earn rebates. A supporter should not return an Enrollment Form unless it lists the ABC Supermarket Club Card number.

"PS" is an additional benefit that the supermarket is giving your supporters. Your supporters will still receive any points or rebates connected to clipless or regular coupons.

Data Transmittal to EPC

After receiving Supporter Enrollment Forms, please go online and enter each enrollee’s information. Enrolling the supporter’s correct information is the responsibility of the nonprofit. When viewing their current month’s Activity Report, if a nonprofit sees an incorrect card number, they will have to reregister the supporter with the correct card number. Rebates are not retroactive; therefore, the supporter with the incorrect card number will not be credited with shopping for that current period.

It is not necessary to enroll more than one supporter with the same ABC Supermarket Club Card number. (For example, a husband and wife may have the same card number.) The rebates are credited by card number, not person. If you enroll two separate people using the same card number, only one name will appear on your Member List.

After submitting your supporters’ information, check your Member List. Your new entries should appear at the bottom of the list. If they do not, there is an error and they have not been accepted. Please reconfirm that the information was entered correctly. If they still do not appear, contact EPC immediately at enrollment@everypennycounts.com or call 732-450-2424 extension 120. About once a week the Member List is rearranged alphabetically.

The "PS" program allows for an open enrollment. You can constantly add names of new "PS". The most recent enrollment received by EPC, for a particular ABC Supermarket Club Card, will supersede any previous enrollment made with EPC for that card.

Be sure to enter your enrollees by the end of the posted Shopping Cycle to assure that proper credit will be given to your organization

Communication

All communication with nonprofits is done electronically; therefore, it is important that your contact people’s email addresses are kept current. If a contact person changes, please update us with the change of the contact’s name and email address. Besides sending emails to your contact people, we also post them on the Internet on your nonprofit page.

Promotion of Passionate Shoppers ("PS")

To assure the success of "PS" within your organization, appropriate promotion is necessary. Promotion includes the initial introduction of the "PS" service to your supporters, as well as reminders to reinforce its benefits.

Promotion suggestions might include a "PS" column in the church or school bulletin, special mailings, announcement of "PS" at regular meetings, signs, telephone committee follow-up, etc.

It’s very helpful to let your supporters know how the "PS" funds are being used. Supporters are further motivated when they can “visualize the benefits.”

EPC would greatly appreciate your sending a copy of any mailing, bulletin, newspaper article, etc., which you send or give to your supporters. We would like to show them to the Marketing Department of ABC Supermarkets to further reinforce the success of "PS".

You should frequently remind inactive supporters that their participation is very important. Equally important, you should periodically thank the supporters who actively generate donations to your cause. On request, EPC will provide customized postcards, proclaiming your personal message, with individual mailing labels at no cost to your organization. (See Appendix A.)

Report Review

Each month three reports will be available online for each nonprofit. For your protection and security, the reports are password-protected.

  • The Activity Report will detail the number of visits, amount spent, and the donation generated for each individual supporter who was active that month.
  • The Inactivity Report will list the names of those in your organization who enrolled in the for the "PS" program, but did not shop the previous month.
  • The third report is a Member List of all current and past supporters.

These reports should be reviewed monthly to verify that the report data matches the data that you submitted. Corrections will be applied for the next month and are not retroactive. EPC is not responsible for data entry errors.

Note: Shopping information is received after each Shopping Cycle from ABC Supermarket. The data is then processed by Every Penny Counts. EPC notifies nonprofits by email when the Activity and Inactivity Reports are posted on your individual nonprofit page for the previous cycle. This occurs approximately four to six weeks after the end of each cycle.

Formula for Success with Passionate Shoppers ("PS")

"PS" has the potential to be a substantial source of funding for your organization. There are hundreds of tried and proven methods and suggestions to guarantee success, but only you know how to best motivate your supporters. Some suggestions may be:

  • One person to head up the program and take ownership of the concept. That person would be able to answer any questions that may come from your supporters.

  • Encourage your supporters to enroll their family members and friends who can shop in any participating ABC Supermarket.

  • Give special treats to classes that bring in a certain percentage of Enrollment Forms.

  • Frequent reinforcement of the benefits of the "PS" program by word of mouth, church bulletins, and inclusion in periodic mailings to your members.(See Appendix B.)

  • Include a ABC Supermarket "PS" column in the church or school bulletin, special mailings, etc.

  • Announcement of ABC Supermarket "PS" at regular meetings, signs, telephone committee follow-up, etc.

  • Telephone committees to reach out to the supporters who do not regularly attend meetings or services.

  • Signage serves as a frequent reminder to supporters. (On request, EPC will provide customized 8 ½ X 11 signs at no cost to your organization - Appendix C.)

  • Frequent reinforcement makes each supporter feel the warm "fuzzies" by knowing that he or she is personally helping your organization.

  • Tell your supporters how the "PS" funds are being used. Supporters are further motivated when they can "visualize the benefits”.

  • Thank your supporters on a frequent basis. (On request, EPC will provide customized Thank You postcards with individual mailing labels at no cost to your organization - Appendix A.)

  • Remind inactive supporters that their participation is very important. (On request, EPC will provide customized Reminder postcards, with individual mailing labels at no cost to your organization - Appendix A.)

  • Remember to constantly encourage your supporters to make an ABC Supermarket their primary/only store. Encourage them to buy those little extras at ABC Supermarket: their child’s birthday cake, cosmetics, a gift, flowers, seasonal decorations, plants, etc.

We always welcome any ideas and suggestions that you may have.
